Payroll Specialist

The Payroll Specialist will be a key member of the Pay Hub Team, supporting the smooth and efficient operation of all payroll-related processes. The role involves managing and executing the full payroll cycle for both seafarers and shore-based employees of the Group.

Responsibilities

New Hires & Termination Process

• Assemble new hire packages and ensure all HR documentation and forms are up to date;
• Ensure all required documentation is well received from new hires
• Prepare new hire / terminations files for submission in ERGANI.
• Prepare contracts of employment for new hires;

Employee Time Attendance

• Provide monthly time and attendance reports and assist on monthly-end and yearly reconciliation reports;
• Review attendance files and resolve discrepancies with supervisors;
• Perform data entry for overtime and follow up as needed;
• Leaves, absences and sick leave data entry;

Compensation & Performance Management

• Assist staff with general inquiries regarding our performance management system.
• Submit employee data reports by assembling, preparing and analyzing data;
• Communicate compensation-related decisions between relevant parties;

Benefits Administration

• Assist with health, welfare and/or retirement plan administration including the processing of new enrollments, change reporting and claims resolution;
• Assist in reconciliation and payment of monthly invoices for supplied services/ products;
• Assist on searching, evaluating and introducing new benefit schemes;

Departmental Development

• Periodically create or update departmental procedures, manuals, and handbooks under guidance;
• Maintain employee information by entering and updating employment and status-change data;
• Maintain confidentiality of employee information and protect departmental operations;

Employee Relations & Communications

• Assist with the implementation and roll out of employee intranet site;
• Assist on handling any employee queries and grievances;
• Assist with the design, layout and the research of various articles;

Other

• Manage and maintain employee files;
• Open and distribute daily mail;
• Track all orders requiring approval;
• Perform special or ongoing projects as assigned;
• Provide general administrative and secretarial support, including data entry, formatting, printing, managing supplies, answering calls, and relaying messages;

Education & Training

• Advance training in Human Resources/Economics or similar field of expertise, such as one would receive at a university, technical trade schools etc. or even by multiple years of on the job training;
• Other educational background related to compensation/payroll administration services is under consideration as well;
• Clear and effective oral and written communication skills in English language;
• Proficient knowledge of Microsoft Office required;
• Excellent use of Excel;
• Experience of working with EpsilonNet Payroll Systems;
• Experience of working with HRMS systems is to be considered as extra skills;
• Experience in using ERGANI;
• Additional working knowledge of foreign languages, (e.g. Italian, German, French etc.) are to be considered as extra skills;

Experience

• 3-5 years related experience in a Human Resources Department and/or Payroll administration position;
• Other working experience in HR administering positions is under consideration as well;
