Role Overview

We are seeking an experienced and values-driven HR Operations Specialist to join our EMEA team and support Fluence’s continued growth. In this role, you will bring your expertise and knowledge to strengthen our HR Operations function while helping us maintain our culture of integrity and excellence.You will own critical HR Operations activities across the EMEA region, enriching the employee experience through operational excellence, system optimization, and collaborative problem-solving. You will also play a key role in ensuring HR compliance and audit readiness across the region, supporting both internal governance requirements and external regulatory obligations.

Key Responsibilities

Compliance & Audit

• Prepare and support HR audits and compliance activities across EMEA, including global initiatives such as SOX controls and local statutory audits. Coordinate with internal and external auditors, prepare audit documentation, ensure HRIS data integrity, and implement corrective actions as needed
• Ensure all operational processes, procedures, and policies remain aligned with current employment law and compliance requirements across all EMEA locations

HR Systems & Data Management

• Maintain the personnel-relevant organizational structure in our HRIS (Workday), ensuring accuracy and timeliness of all records
• Manage the full-cycle employee data lifecycle from onboarding to offboarding, including system maintenance and data quality assurance
• Develop, propose, and implement methods, processes, and programs that enhance HR Operations effectiveness

Payroll & Compensation

• Support and oversee payroll-related processes across multiple EMEA countries, including wage calculations, tax retentions, and bonus payments
• Handle absences, overtime, and special payment processing
• Manage fixed-term contracts, contractual amendments, and related documentation

Stakeholder Support & Governance

• Advise managers and employees on all operational personnel matters with responsiveness and high-quality guidance
• Collaborate with internal and external stakeholders to prepare reports for management and regulatory authorities
• Deliver best-in-class operational HR support to internal customers with outstanding service orientation
• Help shape and develop the HR function across EMEA, contributing to our world-class HR team development

Required Qualifications and Expertise

Languages

• Fluent in German and English (mandatory); proficiency in Dutch, Italian, or Polish is a plus

Professional Experience

• Several years in operational HR roles managing the full lifecycle of HR operations in an international environment
• Extensive payroll experience across multiple European countries (German payroll expertise is mandatory)
• Familiarity with collective bargaining agreements is a significant plus
• Experience with HR shared services models is advantageous

Technical Skills & Tools

• Proficiency with Microsoft Office Suite
• Experience with HRIS systems (Workday experience is a plus)
• Familiarity with invoice handling and procurement systems is advantageous
