Key Responsibilities:

• Manage calendars, schedule meetings, and streamline communication for Heads of Department, ensuring smooth daily operations.
• Coordinate internal and external events that connect colleagues across locations — from sports and team-building initiatives to family days and annual company events.
• Optimise and facilitate administrative processes, including:
  • Launching documents for digital signature.
  • Formatting contracts and following up on NDAs.
  • Archiving in SharePoint and managing document conversions (Word, PDF, Excel).
  • Creating purchase orders in SAP.
• Provide ad hoc administrative support and assist with special projects, acting as a reliable go-to person when tasks need quick, effective organisation.

Job Requirements:

• Bachelor’s degree or at least 5 years of experience in a similar administrative or executive support role.
• Strong organisational and time-management skills; able to prioritise and handle multiple tasks under pressure.
• Flexible and adaptable in fast-changing environments.
• High level of discretion, empathy, and confidentiality.
• A proactive team player who enjoys contributing to a high-performing, international organisation.
• Independent, detail-oriented, and committed to quality.
• Excellent communication skills in English and Dutch, both written and spoken.
• Proficient in Outlook, Word, Excel, and PowerPoint.
• Experience in communication or event planning is an advantage.
